At Aquabox we rely entirely on the generosity of our supporters to enable us to continue our work. That is why we want to be completely transparent about why we need the personal information we request when you support us and how we will use it. Developing a better understanding of our supporters through their personal information allows us to make better decisions, communicate more effectively and ultimately helps us to help those in need of humanitarian aid and safe drinking water around the world. We are totally committed to protecting your information and using it responsibly.

Why we use your information

We will only use your personal information where we have a legal basis to do so and we treat the privacy and security of this information extremely seriously. Where we use your information, it is most likely because you have consented to us doing so. Other reasons may include using information because we have a legal requirement to do so, or because we have to fulfil contractual obligations.

Some examples are:

  • You have given us your consent to use the information for a specified purpose, such as sending you information on our charitable work and fundraising activities and events through our regular newsletters.
  • We have a legal requirement to use your information, for example to provide to HMRC to claim Gift Aid if applicable when you make a donation.
  • We need to use your information to fulfil a contract with you, but this is unlikely to apply to you if you support us through donations or volunteering.

How we use your information

1. To respond to or fulfil any enquiries or requests you make to us.

If you contact us directly, we will use the information you give to us to handle your enquiry or request. This may include responding to your query, or sending you relevant information, such as leaflets or fundraising materials. We may also keep a record of any communication we have with you, such as emails and letters, feedback you provide and any marketing materials we send out to you. This can help us to handle queries more efficiently. 

2. To process any donations you make and claim any relevant Gift Aid.

We keep a record of any donations we receive for audit purposes. This enables us to analyse where our donations and financial support come from and helps us to more effectively channel our fundraising activities.  We are legally required to keep information related to Gift Aid for submitting to HMRC.

3. To provide you with information and support for any events, fundraising and campaigning activities or volunteering opportunities you sign up to.

Where you provide contact details, we will only send you information using the communication method you have given us, for example by post, email or telephone. Where appropriate, we will use the information you give us to identify any help we can offer specific to the activity you are undertaking and to provide any necessary information to support you.

Sharing your information with other organisations

We will never share your information with third parties, unless you give us your permission to, or we are legally obliged to do so. For example, we are legally required to provide your data to HMRC if you have agreed to us claiming Gift Aid on your behalf.

Keeping your details up to date

How to stop or change how we communicate with you

Deleting the information we hold about you

Known as the ‘right to be forgotten’, you can contact us at any time to request that we delete the information we hold about you. Where we have a legal obligation to retain certain data, for example to claim Gift Aid if applicable from HMRC from any donations you have made to us, we will need to retain the relevant information.

How we keep your information secure

We take all appropriate measures to ensure the security, confidentiality and integrity of the data we hold and the systems we operate. This includes the use of firewalls, anti-virus and anti-phishing software on our computer systems to prevent any unauthorised access. These measures are regularly tested and reviewed.
